Gaylord Family – Oklahoma Memorial Stadium

The rich history of Gaylord Family Oklahoma Memorial Stadium makes this a distinctive spot for your next private event. The newly renovated Chesapeake Energy Stadium Club includes 6,700 square feet of versatile space featuring beautiful hardwood floors, crimson and cream décor and floor to ceiling windows overlooking Owen Field and the Norman panorama. Spanning the west side of Oklahoma Memorial Stadium is the Jack Santee Lounge offering a premier entertainment space.

The Lloyd Noble Center

The Lloyd Noble Center, home to the legendary OU Men’s and Women’s Basketball programs, is a multipurpose facility that houses a wide selection of events spaces. Both located on the upper level concourse, the 4,500 square foot Chesapeake Energy Courtside Club and the 1,700 square foot Clinton Lounge are the perfect space for your next reception, meeting or banquet. Within the Chesapeake Energy Courtside Club the Kerr McGee area offers two spacious patios off each wing creating an additional 4,000 square feet of outdoor space.

* Banquet capacity for the Basketball Practice Courts is estimated using 60" round tables seating 8 per table. Reception capacity is estimated using a limited number of round tables with guests standing.

** Basketball Practice Courts may be rented for basketball use for $600. All practice court rental is cleared through the basketball offices. The courts will not be rented out during the practice or regular season, approximately mid-October through mid-March. One court will remain open at all times for student-athlete use.

McCasland Field House

The celebrated McCasland Field House is home to OU women’s volleyball, men’s wrestling, and men’s and women’s gymnastics programs. The space is an indoor multi-purpose arena that can accommodate a range of productions.

Headington Hall

Boasting rave reviews for its state-of-the-art design, this newly constructed residence hall houses a beautiful venue for spectacular corporate and private events. The top floor L-shaped space flows through the 6th Floor lobby and into an intimate ballroom that overlooks the scenic OU campus.

Catering

Oklahoma Athletic Hospitality is pleased to partner with University Catering for all your special events food and beverage needs. Arrangements for food and beverage services must be coordinated through University Catering at (405) 325-2121.

Outside food or beverage is not permitted in our facilities. Under regulations by the State of Oklahoma, no alcohol may be brought into the building by the customer under any circumstance. Liquor service must be arranged through University Catering at (405) 325-2121. Alcoholic beverages may only be served in compliance with University policies and city, country and state laws governing alcoholic beverages.


Policies and Procedures

The University of Oklahoma Athletics Department is pleased that you have chosen our facility to host your event. Our staff has high standards for service and will work with you to make your event a success.

This material was produced to help patrons of the OU Athletics Department facilities understand the guidelines that govern the use of Athletics Department facilities. Since OU Athletics Department facilities are in high demand among campus organizations and outside parties, it is imperative that clients follow specific policies and procedures to ensure the most efficient and effective use of the facility.

The policies and procedures of the OU Athletics Department are subject to change. As in any human endeavor, there may be circumstances with respect to a specific event that may merit special consideration. The OU Athletics Department staff is willing to discuss any special requests for these unique events. Accommodations on the basis of disability are available by contacting Oklahoma Athletics Hospitality at (405) 325-8967.
 
Introduction
Consistent with the stated mission and purpose of the OU Athletics Department, and to ensure maximum efficient and fair use of the OU Athletics facilities, the following policies govern the reservation and use of facilities. Under the guidance of the Director of Athletics, Oklahoma Athletics Hospitality coordinates all room reservations and services related to these reservations.

Facility Use and Rental
The OU Athletics Department offers a wide range of facility use for students, faculty, staff, alumni, guests of the University and the University community. The Oklahoma Athletics Hospitality office is located at 180 W. Brooks, Room 1504 in Oklahoma Memorial Stadium. The office is available from 8 a.m. to 5 p.m. Monday through Friday. A. Facility Reservations
Venue space can be reserved through Oklahoma Athletics Hospitality and is available on a first-request basis. Facilities are available for reservation by calling 405.325.8967. The Oklahoma Athletics Hospitality staff reserves the right to move a group to another venue where every effort will be made to provide comparable space and/or service. A printed confirmation of the reservation is available upon request from the Oklahoma Athletics Hospitality office. Any charges for room, food, technical fees, audio visual use or damages that are not covered by a purchase order or an advance deposit must be paid within thirty (30) days after the function. Price quotations given for room usage fees, technical fees and/or audiovisual use more than three months in advance are subject to change. There will be an additional 25% service charge for events scheduled on official University holidays. A University holiday schedule is available in the Oklahoma Athletics Hospitality office upon request. Failure to pay the account in full will result in the account being turned over to the University for collection. Since program space in the OU Athletics facilities is in high demand, requests should be submitted as far in advance as possible. The deadline for submitting a reservation is two complete working days in advance of the event. Oklahoma Athletics Hospitality can serve each group only to the extent of the information received. Clients are encouraged to be as accurate and complete as possible when requesting space.

B. Reservation Cancellation Policy
Cancellations must be in written form and submitted to the Oklahoma Athletics Hospitality office as soon as possible. On standard room reservations, a 24-hour written notice of cancellation is necessary to avoid being charged in full.

C. Physical Arrangements
The Oklahoma Athletics Hospitality staff can assist in planning the physical set-up for all functions. Set-up and equipment needs should be requested at the time of the reservation. Oklahoma Athletics Hospitality must receive this information at least two full working days prior to the event. Late requests cannot always be honored due to equipment, staff and time limitations. Orders are filled on a first-request basis. If equipment is not available, the customer will be notified. Audio/visual equipment is available for use at an additional charge. Podiums can be supplied on a complimentary basis. The equipment is for use inside the OU Athletics facilities only.

D. Room Condition and Times Available
The condition of all facilities is ensured before and after each event. Persons and organizations using the space are held responsible for turning out lights and leaving the room in the same condition in which it was found (with the exception of catering items.) The need for adjustments to the space arrangements must be made through Oklahoma Athletics Hospitality office. Furniture should not be removed. Please wipe up any spills immediately. In case of an emergency, you will be given a number to contact.

E. Lost and Found
While the OU Athletics Department is not responsible for lost or stolen merchandise or personal items, in the event of a lost item, please contact Oklahoma Athletics Hospitality at 405.325.8967.

F. Parking
The Asp Avenue Parking Facility provides convenient parking for students, faculty, staff and guests of the University. Parking in the facility is available without a permit during posted times. Metered spaces are also available. The Oklahoma Memorial Union Parking Center is open 24 hours, seven days a week and is located directly north of the Oklahoma Memorial Union. Other parking is available on campus without a permit during posted times. Parking for the Chesapeake Energy Courtside Club is available through the Lloyd Noble Center. Please note at the time of your reservation if you will have additional parking needs. 

G. University of Oklahoma Tobacco Free Policy
In accordance with Executive Order 2012-01, the University has established a Tobacco Free Policy. All facilities of the University, regardless of campus or location, are tobacco-free.

Special Charges
A. Special Service Charges
Special service charges will apply in the event the reserved space requires extra clean-up, non-customary set-up, or if the facility is damaged in any way. Tape, nails, or tacks cannot be put on any surface in the OU Athletics facilities. Any damage to any surface will result in a damage fee.

B. Overtime
Any group or function requiring the space to remain open after 12:00 a.m. the night of the scheduled event will result in an additional fee of $75 per hour.

C. Payment of Services
For non-University groups, Oklahoma Athletics Hospitality requires a down payment in the amount of 25% of the room usage fee upon receipt of the signed OU Facility Rental Contract. The full payment of the function is required within (30) thirty days after completion of the event. Any reservation request submitted by an organization or individual with an outstanding balance will automatically be rejected. The balance must be paid in full before the request will be precluded.

D. Special Charges
There will be an additional 25% service charge for events scheduled on official University holidays. A University holiday schedule is available in the Oklahoma Athletics Hospitality office or online at www.ou.edu.

Decorating and Security
A. Decorating Policy
All decorations must be pre-approved by the Oklahoma Athletics Hospitality staff. All decorations must adhere to the Oklahoma Athletics Hospitality and University of Oklahoma decorating policies. It is the intent of this policy to protect the interior of the OU Athletics Department facilities and to protect the client from incurring damage charges. Additionally, decorating policies adhere to fire safety regulations.

o    No items can be attached to the walls or hung from the ceiling. The use of tape, nails, staples, or tacks is strictly prohibited.

o    Any damage to building surfaces will result in a damage fee and the offending items will be immediately removed.

o    The sponsoring group will be charged for excessive litter, and therefore unusual clean-up, caused by the decorations and/or literature associated with the event.

o    No glitter or confetti may be used. 

o    Do not use anything in an aerosol can such as spray glue, spray glitter, spray snow, or spray paint.

o    The use of flammable materials such as straw, hay, and evergreens is prohibited. 

o    No torches or lanterns are allowed on OU Athletics Department premises, including exterior space.

o    Anything left in the facility will be thrown away after the event.

o    Alteration of existing OU Athletics Department decoration is prohibited. Any violation of the above rules will result in a damage charge and/or loss of rental privileges.

B. Security Personnel
All security must be arranged through the Oklahoma Athletics Hospitality office. When required, the department will employ one security person per 75 people attending the function, at prevailing rates and at the department's discretion. The organization or group will be charged for any fees involved. Oklahoma Athletics Hospitality reserves the right to require an additional number of security officers for any event.

C. Liability
The sponsor shall be responsible for the activities and actions of their guests and agents. The sponsoring group is responsible for any and all damages. The OU Athletics Department and Oklahoma Athletics Hospitality reserve the right to inspect and control all functions.  The OU Athletics Department and Oklahoma Athletics Hospitality will not assume responsibility for the damage to, or loss of, any merchandise or personal property.

Catering
A. Catering Policy
